Features & Capabilities

Numbers is now part of Apple Creator Studio, a powerful suite designed to help you plan, organize, and visualize data. It lets you create, view, and edit spreadsheets using Apple-designed templates on iPhone, iPad, Mac, or via iCloud.com, with real-time collaboration and no subscription required.

Key features include hundreds of functions (XLOOKUP, RegEx), pivot tables, and a wide range of charts and visuals. You can share spreadsheets publicly or with teammates, import and export CSV and Excel files, and annotate data with Apple Pencil or sliders. Apple Intelligence tools like Writing Tools and Image Playground enhance your content. Note that some features require an Apple Intelligence–capable device; see Apple Support for details.

User Reviews

Users praise Numbers for being easy to use, visually appealing, and capable for everyday spreadsheet work; many prefer it to Excel and rely on its features as a go-to tool, with handy templates. However, recurring concerns include cross-device sync and concurrency bugs, updates causing instability, friction when collaborating or sharing with non-Apple users, and worry over monetization/paywalls limiting access to features.
Pros
  • Very easy to use and intuitive; many users find Numbers easier to learn and use than Excel.
  • Clean, visually appealing UI with a modern design.
  • Powerful functions and has become a go-to program for managing spreadsheet projects.
  • Helpful templates and dashboards for getting started.
Cons
  • Sync and concurrency bugs between Mac and iOS; conflicts and lost changes when editing across devices.
  • Monetization concerns: paywalls and higher costs for additional features.
  • Sharing/collaboration with users on non-Apple devices is challenging.
  • Stability issues after updates (damaged/incomplete app installs, conflicting versions, etc.).

I’ve used Numbers for a couple of decades. It just keeps getting better. I use it in my business. And for a limitless number of everyday tasks.

Large tables are not handled efficiently. Numbers attempts to load the entire table into memory which means that large tables become unresponsive and hangs. I would love to use numbers for all my spreadsheets but am forced to use Google Sheets or Excel.
