Wardory: E-Invoice & Time

Your customer's system needs an e-invoice, and your suppliers already send them. Wardory reads the ones you receive and writes the ones their systems accept, on your phone. An invoicing app for the freelancer and the one-person business, with no bookkeeping suite behind it.

Since January 2025 every German business has had to be able to receive an e-invoice, and by 2028 they will all have to send one. Dutch public buyers have wanted Peppol for years. Almost all the software that does this properly is Windows desktop software.

READ THE E-INVOICE YOU WERE SENT
• Open a ZUGFeRD or Factur-X hybrid PDF, or an XRechnung, Peppol or NLCIUS XML file, and see what it actually says: who is billing you, how the VAT was handled, and when it is due.
• The same check runs on their invoice: totals that do not add up, a sender without a VAT ID, an IBAN that fails its own check digits: you see it before you pay.
• A supplier you know suddenly names a different IBAN? Wardory compares it against their earlier invoices in your archive and warns you before you pay.
• The receive duty covers everyone, including Kleinunternehmer who never have to send an e-invoice themselves.
• File what you received in the archive too: receiving an invoice carries a keeping duty of its own.

THE FORMAT YOUR RECIPIENT ACCEPTS
• ZUGFeRD / Factur-X: one PDF a person can read, with the structured data inside it. What German business customers ask for.
• XRechnung 3.0, in UBL or CII, for German public buyers.
• Peppol BIS Billing 3.0 and NLCIUS / SI-UBL 2.0 for Dutch and EU networks.
• Set the format once per client and Wardory remembers which one each of them needs.

KNOW BEFORE YOU SEND
• Every invoice is checked against EN 16931 and the extra rules your recipient's own system adds.
• A missing Leitweg-ID, an address with no city, a reverse charge without the client's VAT number: you see it here, with the rule number and the field to fix.
• A portal tells you hours later, as an error code. Wardory tells you now, in plain words.

VAT DONE PROPERLY
• Reverse charge on cross-border EU services, with the right category code and the legal wording in your own language ("btw verlegd", "Steuerschuldnerschaft des Leistungsempfängers").
• Kleinunternehmer and KOR: no VAT charged, and the exemption stated the way the standard requires. A tax number is enough, you do not need a VAT ID.
• Sequential numbering, IBAN, your VAT ID, and totals that add up to the cent.

KEPT AS LONG AS THE LAW SAYS
• Every e-invoice you export is stored exactly as it was sent, for the statutory retention period, counted from the end of the year of issue.
• Each document is linked to the one before it, so you can check on demand that nothing in your archive has been changed since.
• Export a verified backup you hold yourself: Wardory writes the file, reads it back off disk and proves it decodes to exactly the same data, archive included.
