The ZUUL Systems app allows registered users with residential access to directly send guests a pass for entry into their gated community. Advanced features allow for a significant reduction in wait time at the gate for guests, as well as improved security measures for residents. Registered guests can request a pass from residents. Create groups, favorites, and import all your contacts directly from your phone. Passes contain your pre-scanned ID, unique QR code, and ability to get directions and add a pass to calendars as a reminder.

The app is a great idea but it rarely works right. I recently went 6 weeks with it not working at all. Now, hours of trying to fix it, I still rarely get the text type notifications. Emails come late. What I really need and want is that pop up notification with the doorbell sound so I know visitors or vendors are in property. It rarely happens.

I recently attempted to update my pre-approved visitor list in the ZUUL Systems app and ran into a number of issues that made the process unnecessarily difficult. Specifically, I was unable to remove names from my pre-approved list. Based on the app’s own guidance, there should be horizontal menu bars or controls on the right side that allow users to edit or remove entries, but those options were not visible or accessible in my case. I also explored the notifications section, thinking that might provide a way to manage or remove pre-approvals. However, that section only displayed a log of visitor activity (dates and times) and did not allow for any editing of pre-approved entries. In an effort to resolve the issue, I deleted and reinstalled the app on my iPhone, restarted my device, and went through the full login/reset process. This included requesting a password reset and creating a new password, which added additional time and inconvenience. Unfortunately, even after completing this process, the original issue remained unresolved. This experience suggests that the app may have functional inconsistencies or usability limitations. At a minimum, the navigation is not intuitive, and key features—such as managing pre-approved visitors—are not clearly accessible or reliable. What should be a simple task ended up requiring significant time and multiple troubleshooting steps without a resolution. In my professional capacity, I work with two property management companies that oversee 20–30 communities. Feedback from both managers and homeowners indicates that this is not an isolated experience—many users report similar difficulties with the app’s functionality and ease of use. I want to emphasize that this feedback is intended to highlight a real usability concern. When routine tasks take excessive time or cannot be completed despite following all available steps, it creates frustration for homeowners and property managers alike. Over time, issues like this can influence decisions about which systems and platforms are recommended or retained. I strongly encourage your team to review the functionality of the pre-approval management feature and improve the overall user experience. Making navigation more intuitive and ensuring that core features work consistently would significantly improve user satisfaction.
