OtisIO Kiosk: Site Clock-In

OtisIO Kiosk turns a spare tablet into the clock-in point for one site. It sits on a wall by the door or on the desk in the site cabin, and it belongs to the site rather than to a person. Nobody signs into it. There is no personal account on it and no email address typed at 6am in the rain.

Setting one up takes about two minutes. Add the kiosk in your OtisIO admin, hold the tablet up to the QR code on the screen, give it a name, and it is paired to that location. After that it shows the attract screen and waits.

CLOCKING IN

Four methods, and you choose which of them a site allows.

Face. The person looks at the camera and the kiosk recognises them. No PIN to remember, no card to lose, no fingerprint reader to clean.

PIN. Employee code, then a PIN. Always available as a fallback, so a wet morning or a full pair of gloves never leaves someone stuck at the door.

QR. The rotating badge in the OtisIO staff app.

NFC. A tag held to the reader.

HOW THE FACE PART ACTUALLY WORKS

This is the part people ask about, so here it is plainly.

Recognition runs on the tablet itself. When someone enrols, the kiosk turns their face into a set of numbers, sends only those numbers to your workspace and throws the photo away. It never uploads a photo of a face at enrolment. When someone clocks in and is recognised, the kiosk sends the match, not an image. The only time a picture leaves the device is when the kiosk cannot match the face at all, and then one cropped frame goes to a manager to review so an unknown person at the door is something you can actually look at. Those frames are deleted on a timer you set, 30 days by default and 90 at the outside.

The face data your workspace holds is encrypted, belongs to that workspace alone, and is deleted outright when someone withdraws consent. Nobody enrols without agreeing on screen first.

The copy the kiosk keeps of the site roster is held in the tablet's secure keystore, cannot be backed up or copied to another device, expires by itself after 24 hours, and is wiped the moment the kiosk is de-registered.

WHEN THE SIGNAL DROPS

Sites lose connectivity. The kiosk holds the roster locally so face and PIN clock-in keep working through a dead spot, and the punches go up when the line comes back.

Every punch lands in OtisIO immediately. Who is on site right now, hours against the right cost code, timesheets that do not need retyping on a Friday, and an audit trail for the ones that were flagged.

WHAT YOU NEED

An OtisIO workspace on a plan that includes kiosk clock-in, and a tablet you can leave at the site. This app is no use on its own. If your company does not use OtisIO, there is nothing here for you to sign into.

Adding a kiosk does not stop anyone using the staff app. Most sites run both: the tablet by the door for the crew turning up together, the phone for the ones going straight to a job.
